Health and Safety Policy
The health and safety of all participants in swimming and its related activities is paramount to the success of the sport and as an enjoyable recreational activity. PCA has an important and legislatively mandated role to play in ensuring the health and safety of learn to swim children, swimmers, officials, coaches, and parents /caregivers participating in swimming activity.
PCA will take all reasonably practicable measures to protect participants in its swimming activities from harm to their health and safety.
PCA will cooperate, consult, and coordinate activities with all other organisations involved in swimming who have related health and safety obligations. In particular, PCA will work closely with the Porirua City Council as the provider of swimming pool facilities primarily used by the Club at Cannons Creek Pool and Arena Aquatic Centre. PCA will also work with other facility providers such as Hutt Council and Wellington City Council where it hosts or attends swimming meets and with the authorities responsible for pools where PCA swimmers are competing.

Complaints Process
PCAs full complaints process can be found on page 10 of the Constitution and Rules Porirua City Aquatics.
• Members, Committee Members, or the Club may make a complaint.
• Complaints should be made in writing to the Committee or complaints subcommittee where possible.
• The complaint should clearly explain what happened, who is involved, and what outcome is being sought.
• Everyone involved will be given enough information and a fair chance to respond.
• The Club will consider written submissions and may hold a hearing if needed.
• Complaints will be handled fairly, promptly, and confidentially where possible.
• The Club may decide not to continue with a complaint if it is minor, unsupported, already dealt with, delayed, or outside the Club’s process.
• The Club may refer a complaint to a subcommittee, external person, mediation, facilitation, or another agreed dispute resolution process.
• Anyone making a decision must be impartial and must not have a predetermined view.
Privacy Policy
Away Meets Policy
The purpose of the policy is to set clear expectations for PCA team travel so that swimmers can attend away meets in a structured, supervised team environment while promoting club spirit, swimmer development, and the club’s profile at national events. It also outlines financial responsibilities, deposits, assistance, and post-trip cost reconciliation.
The policy is intended for PCA swimmers and their families, as well as team management, coaches, committee members, and officials involved in organising, funding, travelling to, or participating in away meets.
